How to add student?

    Student can be added through UI using Add Student or can be uploaded through excel
  1. Adding students through Excel Template
    A] Download the template
    1. Select Profile-> Select Student-> Select the Branch
    2. Click on the Download Template tab on the screen as shown in the screenshot below
    3. An Excel sheet will be get downloaded ,Open an Excel sheet, you will get the template with headings as in below screenshot-

      Important note:- Mandatory fields are highlighted with yellow color code which must need to be fill.

  2. B] The steps and rules that must be followed while filling the template:
    1. First Name* - Mention the Student first name (it is a mandatory field)
    2. Middle Name – Mention the student middle name
    3. Surname* - Mention the Student last name (it is a mandatory field). In case if student does not has a surname, fill dot(.) in surname.
    4. Student User Id - It is not a mandatory field.(It must be unique for each student)
      1. We can make combination of institute name prefix and student unique code (Registration no./Admission no/Roll no.)for the user id
      2. Example- If institute name is Gurukul International School and student unique no. is 1245 then student user id will be like-GIS-1245
      3. Same can be follow for the Father’s User ID
      4. In case the User ID column is left blank, the email ID becomes the user ID
      5. In case the User ID and the email ID is blank, the system generates an auto generated User ID.
    5. Create Student Login- If student login id needs to be created then you need to mention (Y ) else leave it blank in case you want parent login id creation Note: At least one login id have to be created either of the student or father /mother / both parent s. For that whose login is yes, first name and last name is mandatory.
    6. Gender*You need to mention M for male and F for female
    7. Date of Birth- (DD/MM/YYYY)-Date of Birth should be in (DD/MM/YYYY) format only
    8. E-Mail Address- For those whose login is Yes, email id is preferable so that communication can take place
    9. Mobile No – For those whose login is Yes, mobile number is preferable so that communication can take place
    10. Address Line 1- mention residence address
    11. Area- mention area
    12. State- mention state MUMBAI ,GOA ( all in capital letter)
    13. District- mention City (first letter in Capital)
    14. Taluka /City- mention Taluka /City
    15. Town/Village-mention town/village
    16. Pin code- Pin code should be of complete 6 digit
    17. Religion- mention religion.(select from drop down list)
    18. Caste- mention caste in Capital letter like SCHEDULED CASTE,DENOTIFIED TRIBES etc (select from dropdown list)
    19. Standard- mention the standard
    20. Division-mention the division
      Note : No special characters are allowed in standard and division.
    21. Fees Codes-Fees code is applied when the students in same class have different fee structure.
      1. For example:If there is 40 student in 1 std. Out of those, 10 students have different fee structure and rest 30 students have different fee structure then the 10 students should have the same fee code and the other 30 students should have the same fee code.
      2. If all students in a standard have same fee structure, fee code column should be left empty
    22. Active- Input Y for active students and N for Inactive
      1. Active (Y) – All verification (if needed) for the student has been complete and the student is required to pay the fees
      2. Active (N) - – All verification (if needed) for the student has not been complete and the student needs to fulfill some more formalities before he is required to pay the fees. Only after the student has been made active (Y) , the students will receive the username and password.

      IMPORTANT NOTE: IN CASE ONLY STUDENT LOGIN NEEDS TO BE CREATED , NO NEED TO FILL REST OF THE DETAILS.

    23. C] FATHER’S (PARENT) LOGIN NEEDS TO BE CREATED PLEASE CONTINUE:

    24. Father's First Name* Father first name is compulsory (If Father Login needs to be created)
    25. Father's Middle Name mention the middle name if require
    26. Father's Surname* -Father surname is compulsory (If Father Login needs to be created)
    27. Father User Id* -If create father login is yes (Y) then father’s user id is mandatory otherwise it is not a mandatory field
      1. Please follow the same process for the father’s user id creation as student user id
      2. In case the User ID column is left blank, the email ID becomes the user ID
      3. In case the UserID and the email ID is blank, the system generates an auto generated UserID
    28. Create Father Login -If father login is created then you need to mention “Y” in this create father login column else please leave it blank
      Note: At least one login id have to be created either of the student or father /mother / both parent s. For that whose login is yes, first name and last name is mandatory.
    29. Father's Date of Birth (DD/MM/YYYY) -Mention the father‘s date of birth in the given format (DD/MM/YYYY) if available.
    30. Father's E-Mail Address- For those whose login is Yes, email id is preferable so that communication can take place
    31. Father's Primary Mobile No- For those whose login is Yes, mobile number is preferable so that communication can take place
    32. Father's Secondary Mobile No- mention the father alternate mobile no if available
    33. mention residential address of family if available
      1. Father's Address Line 1
      2. Father's Area
      3. Father's Town/Village
    34. Father's Pin code
    35. Father's Profession- If require you can mention the father ‘s profession
    36. Father's Income- If requires you can mention the father’s annual income
    37. D] IF MOTHER’S (PARENT) LOGIN NEEDS TO BE CREATED PLEASE CONTINUE:

    38. Mother's First Name* - mention the mother first name
    39. Mother's Middle Name - mention the mother middle name
    40. Mother's Surname* - mention the mother’s surname name
    41. Mother User Id* - If create father login is yes (Y) then father’s user id is mandatory otherwise it is not a mandatory field
      1. Please follow the same process for the father’s user id creation as student user id
      2. In case the User ID column is left blank, the email ID becomes the user ID
      3. PIn case the UserID and the email ID is blank, the system generates an auto generated UserID
    42. Create Mother Login - If mother login is created then mention “Y” in this column else leave it blank
    43. Mother's Date of Birth (DD/MM/YYYY) - If require mention the mother date of birth in the given format (DD/MM/YYYY)
    44. Mother's E-Mail Address - For those whose login is Yes, email id is preferable so that communication can take place
    45. Mother's Primary Mobile No- For those whose login is Yes, mobile number is preferable so that communication can take place
  3. E] IF GUARDIAN’S LOGIN NEEDS TO BE CREATED PLEASE CONTINUE:
    1. If in case, same mobile no. are provided with different parent name for more than one student then we can create guardian account for them(because according to our system for same mobile no same parent name is needed )
    2. Same process should be follow for the guardian’s as for the father’s data
  4. F] After filling complete data in template following checkouts should be made once:
    1. There should not be any special characters in first name and last name
    2. User Id (Student/Parent/Guardian) should not be repeated for any of the records
    3. Date of Birth should be in system format (DD/MM/YYYY)
    4. All Email addresses should be in valid format
    5. All mobile no. should be 10 digit and for same mobile numbers parent name should be same
    6. Student registration should not be repeated for any of the record
    7. All required fields should be properly filled

    Adding students through UI

  1. Select Profile-> Select Student-> Select the branch
  2. Click on Add Student
  3. Add the student details. Fields marked with asterisk are mandatory and should be filled.
  4. After filling all the required details, select the status as Active and create login as Yes.
  5. Add Parent Details if required.(If you want to create Parents Login)
  6. Add Parents Details step-wise from Add New Parent.
  7. Click on save button on parent details page.
  8. After saving parent details, click on Save button on Student details page.
